Cancellation & Refund Policy
Effective date: 03 August 2026
This policy applies to payments made to Chandra Vimla Vihar Condominium through the website, Resident Portal, Razorpay, UPI, bank transfer or other approved modes.
1. Maintenance and Common Charges
Correctly assessed maintenance, opening dues, special contributions, penalties and other common charges are generally non-cancellable and non-refundable once paid because they are applied to the flat account and common obligations.
2. Eligible Refund Cases
- the same payment was received more than once;
- an excess amount was paid;
- payment was credited to the wrong flat or charge;
- a transaction failed on the portal but the bank confirms debit and no credit/receipt is recorded;
- an event/service was cancelled by CVVC and an amount is approved as refundable; or
- an authorised office bearer/committee approves a refund under a recorded decision.
3. Programme/Event Contributions
After final participation confirmation, programme contributions may be non-refundable where vendor commitments or expenditure have been made. Refunds may be considered for event cancellation, duplicate/excess payment or authorised approval.
4. Request Procedure
Submit a request within 7 calendar days of payment or discovery. Include flat number, resident name, payment date, amount, transaction/payment ID, reason and bank proof.
5. Review
CVVC will ordinarily review a complete request within 7 working days. Bank, gateway, ledger or committee verification may be required. Submission alone does not constitute approval.
6. Method and Timeline
Approved online refunds will ordinarily be initiated to the original payment method. Expected credit time is 5–10 working days after approval, subject to the bank/payment provider. Actual timing depends on the bank/provider. Where source refund is unavailable, verified alternate bank details may be requested.
7. Gateway Fees and Taxes
Gateway fees, convenience charges or taxes not reversed by the provider may be non-refundable to the extent permitted by law and disclosed at payment.
8. Failed or Pending Payments
Do not immediately pay again if the bank shows a debit while portal status is pending. Share transaction details for reconciliation. A later duplicate success will be adjusted or refunded after verification.
9. Chargebacks and Disputes
Residents should first contact CVVC for reconciliation. An inaccurate chargeback for a valid community charge does not extinguish the underlying due.
